Summons to correct formal defects in the application

The office found something missing or wrong in the application itself, for example a photo or passport copy that does not meet the rules, and asks for it to be fixed by a date in the letter. If it is not fixed, the application is left without examination.

7 days from delivery · Kodeks postępowania administracyjnego art. 64 § 2 (applied via the Act on Foreigners, art. 106e ust. 2)

Summons to submit supporting documents

The office asks for documents that confirm the data in the application, for example proof of health insurance or an employer's documents. The statute sets a longer minimum than for formal defects and lets the office allow time to obtain the document.

Summons to appear in person for fingerprints, signature specimen and passport

The office sets a date and place where the applicant must come in person to give fingerprints and a signature specimen and to show the original passport. It is sent by e-Doręczenia or e-mail.

Summons to pay the stamp duty

The office says the fee for the permit has not been paid or proven and asks for payment confirmation. It may arrive together with other summonses.

Decision (grant, refusal or discontinuation)

The voivode's written decision on the application. The letter states whether the permit is granted or refused. A refusal can be appealed within a fixed period counted from delivery.

Notice of date and place to collect the residence card

After a permit is granted the office sends a message with the date and place to collect the residence card. It comes by e-mail, SMS or e-Doręczenia.

Notice that the case will not be decided on time (new decision date)

The office tells the applicant it will not decide within the usual time, gives the reason and a new date, and states the right to file a complaint about delay (ponaglenie).
